This Playbook helps a UK founder or small business find useful AI work, design it around real business evidence, choose a suitable implementation route, test it and retain human authority. Start with a job that already exists. Map its owner, inputs, source of truth, output, recipient, decision, frequency and failure consequences. Decide whether AI improves it. Then write the contract.

The procedure defines the job. The AI environment is the execution layer. Albion sells the map; you choose the vehicle. A change in model, workspace or automation vendor should not make the business process unintelligible. That is the dogfood: the method Albion uses to keep a human gate on its own AI work, written down as a map rather than sold as a hosted engine.

Start at your actual position

New to AI. Start with one business process. Follow process → manual procedure → AI assistance → testing → controlled connection → operation. A useful first candidate is a repeatable internal draft or evidence summary with a human checking it before use.

Already running AI. Inventory tools, schedules, permissions, owners, source systems and outputs. Identify undocumented jobs and unsupported assumptions. Test, remove duplication, tighten access, and only then optimise.

Three routes — after the work is defined

  • Lean / manual. Human gathers source information → AI prepares a candidate output → human verifies → human acts. Low integration cost and easy inspection.
  • The Albion way. Distinct specialist systems and bounded procedures. A worked example, not a shopping list. No buyer needs every named tool.
  • Consolidated. An agent, CRM, automation or business platform hosts more of the sequence centrally. Fewer connections can mean greater platform dependence. Know how you would leave.

The implementation map

  1. Discover. Name one process and its human owner.
  2. Document. Perform it manually and identify the source of truth.
  3. Design. Write the task contract, including prohibitions and failure behaviour.
  4. Prototype. Try AI manually with approved inputs.
  5. Test. Use normal, missing, conflicting, duplicate, stale and unavailable cases.
  6. Connect. Begin read-only when possible; grant only necessary access.
  7. Validate. Compare the output to source reality, not the model’s confidence.
  8. Deploy. Release to a bounded scope with a named human gate.
  9. Monitor. Log runs, exceptions, versions and costs without copying unnecessary sensitive data.
  10. Review. Improve the workflow — or remove it if it does not justify itself.

The operating loop

Human decision. Authorise consequential action. Systems execute → evidence is recorded → exceptions surface → a human reviews and decides → the system continues.

Do I need a paid Notion account?

No. A free or paid Notion account works. Notion is only the delivery layer; the method still makes sense on paper or in another tool.

Do I need another Albion system first?

No. The Playbook is a complete, standalone workspace. It starts with one real process and works the method end to end on a fictional example business. It isn't a hosted AI service, a coding course or a live integration.

Does it install automations or AI?

No. You get guidance, procedures, prompt templates and record databases to fill in. Duplicating copies pages and databases, not credentials, schedules or automations. Anything you connect, you configure and test yourself.

Can I share it with my team?

Each purchase is a licence for one individual user, for use in their own business, so please don't share the link or the template. If more people need it, email support@albionos.co.uk about a multi-user licence. Full terms are in our Terms of Use.

Is this legal, tax or financial advice?
